The GSHCC Mega Drops are officially over, and we want to thank all of our wonderful volunteers how made the events a success. As your troop begins to prepare for booth sales, please be sure Girl Scouts in your troop are familiar with general booth guidelines as well as specific instructions that might apply at your scheduled booth locations.
Remember to use our Troop Budget Worksheet to help your troop plan how many booth sales you will need to attend to successfully hit your troop’s goals for the year.

Booths and Alternative Booths
Girls can accept contactless credit card payments through the Digital Cookie app using a mobile device when selling at booths, but the troop site must be set up by the troop cookie manager first. These payments are credited directly to the troop. Since girls are selling troop inventory at booths, they will select their troop from the drop-down menu when signing in to Digital Cookie. NEW! National Wendy’s Booth Partnership
Wendy’s has pre-approved over 4,200 locations to host cookie booths nationwide. This makes them GSUSA’s largest booth partner offering! Wendy’s is planning their own release to promote both their Thin Mints™ Frosty© and the booth partnership. Which means more press and more possibilities for new cookie orders. Check Smart Cookies to see if there is a participating Wendy’s near you. Please note that troops should not promote the new Frosty.

Smart Cookies and Booths
Please review any special booth instructions in Smart Cookies. This can be done by going to Troop Reservations, clicking the three dots next to a booth, and selecting Booth Details. Cookie managers are also responsible for ensuring participating girls and families are familiar with all booth guidelines. We strongly encourage using a Booth Sale Worksheet to track booth sales and the Smart Booth Divider to transfer sales. Troop Secured booths must be approved in Smart Cookies before a troop hosts the booth sale.

Cookie Packaging Change Reminders and Updates
As a reminder, Caramel DeLites and Peanut Butter Patties will continue to be packaged in soft pack/film packaging. Adventurefuls are also transitioning to this packaging type. Last season, we saw some Peanut Butter Patties cases sealed with ABC tape to reinforce the top and bottom flaps. This will continue in the 2025 cookie season.

Cookie Drops
Remember to count all inventory received from your Cookie Drop location before distribution to girls. Inventory damages, overages and shortages must be resolved by contacting GSHCC Customer Care within 24 hours of your Cookie Drop event. You will receive an email to resolve discrepancies which must be printed and brought to a local Cupboard to resolve within one week of Cupboard opening day. Contact the Cupboard manager before your visit to ensure hours and inventory availability.
Important Note: Shortages and Overages are physical quantities received that do not match the inventory sheet you received at your Cookie Drop event.

Cookie Cupboards
Need additional inventory? Our Cookie Cupboards have been stocked to their maximum capacity. Remember to place a Planned Order as inventory is prioritized for these order types. Planned Order deadlines are Sundays at midnight, and we recommend pick-ups for Friday or later to allow time for cookie delivery. Hours vary by Cupboard location. If you do not see specific dates or times listed, that means the Cupboard may not be operating at that time. Not all Cupboards will accept Unplanned Orders so we recommend contacting your local Cupboard Manager for availability information.
Cupboards can only distribute full cases. If your troop needs individual packages, work with another troop to process a Troop to Troop (T2T) transfer. Check with your service unit cookie manager for information on how your service unit coordinates these.
Inventory Exchange is a new option for troops that are eligible to place planned orders from cupboards. Troops can exchange full, unopened cases of cookies for other varieties at the discretion of the cupboard manager. Planned Orders will continue to have priority for available inventory, and the varieties available for exchange will vary by Cupboard. The inventory brought in for exchanges must be in sellable condition. This option will be available at select Cupboards from March 11-16. Transfer Orders Troop Cookie Manager Guide: Page 25

Cookie Share
Girl Scouts can continue accepting Cookie Share donations throughout the sale. Donations accepted at booths should be entered in the Smart Booth Divider; they will not be automatically credited to the troop/girls unless this is done. Those accepted by girls via other selling methods, excluding Direct Ship, should be entered in the Virtual Cookie Share tab by the cookie manager. Girls who reach 15+ Cookie Share donations will earn a Cookie Share patch. Girls who sell 30+ will earn a boost bar theme key ring. All Cookie Share rewards can be earned on the Older Girl opt-out plan. Troop Guide: Page 15

Financials
Troops who do not have a clear pre-authorization were contacted by GSHCC. These troops cannot place a Planned Order until valid banking information has been submitted. Our first ACH withdrawal will be processed on March 6. Troops who will not have funds available will need to contact Customer Care no later than March 3 to receive a one-week extension for their ACH withdrawal. Extension requests must include a troop number and the reason for the request. Troop Cookie Manager Guide pages 26-27
