Inventory and Program Wrap-Up
|
Take the time to review your Smart Cookies dashboard for any action items as you wrap up your program. It’s crucial to check your inventory, financials, and reward selections to ensure everything is accurate. If your troop shows negative inventory, this indicates that more inventory was transferred to the girls than what was received. In such cases, double-check all transfer orders in Smart Cookies to make sure they are correct. Additionally, we recommend transferring out all packages listed under Troop on Hand Inventory to participating girls. This step helps maximize the rewards earned, though it is not mandatory. By thoroughly reviewing these areas, you can ensure that your troop’s program wraps up smoothly and accurately.
Remember to check for Troop Direct Ship orders that are pending distribution, if any, and transfer to participating girls.

Cookie Share
|

Verify that any Cookie Share donations received via Girl Delivery orders after the Initial Order are entered as Virtual Cookie Share or in the Smart Booth Divider for girls to get credit for them. Run the order report in Digital Cookie to calculate any Cookie Share donations sold by each participant digitally. Those numbers need to be compared to what is in Smart Cookie and the difference put in manually in the Virtual Cookie Share tab.

The Cookie Share Patch at 15+ packages and Boost Bar themed key ring at 30+ packages will show in the “Extras” section of the Main Recognition Order. All Cookie Share rewards can be earned on the Older Girl opt-out plan.

Rewards
|
All troops are required to complete Main and Troop Recognition Orders, regardless of the proceed plan selected, as this is how rewards are ordered. Be sure to collect reward choices and sizes from the girls in your troop as needed.

Camp Voucher: Families can reserve a spot at camp before earning the Camp Voucher, but they will be responsible for the $25 deposit.
Troop Treasure: Troop Treasure is earned with a minimum PGA of 250. Troops with an outstanding balance due are not eligible to earn or use Troop Treasure. All troops must create a Troop Recognition Order to receive Troop Treasure if earned. Please note that Troop Treasure Cards will be virtual.

775+ packages: At this level, girls will earn the Cozy Panda Bundle which includes an adorable Panda Pom-Pom Beanie, a cozy Panda Hoodie Sweater and a Panda Neck Pillow.

Financials
|
Troops must ensure that funds are deposited into troop accounts in time for ACH withdrawals, even if they do not receive an ACH reminder email. If your troop needs a one-week ACH extension, contact GSHCC at least three days before the scheduled withdrawal. Requests should be sent to customercare@girlscoutshcc.org and must include your name, troop number, and the reason for the request. Troops with returned ACH payments will be responsible for any fees due to insufficient funds if no extension request is submitted by the deadline. Returned payments will appear on your Troop Balance Summary Reports.
Troops should also verify that girls have a zero balance. If a negative balance exists, check that all Transfer Orders are completed or refund customers as needed. Troops should not use troop proceeds to cover girl balances and are strongly encouraged to fill out a Cookie Collection Report if necessary. This is the only way GSHCC can assist in recovering owed funds. After submitting the collection report, GSHCC will issue credit to your troop account in Smart Cookies and work with families directly to resolve any outstanding amounts. Once a collection form is submitted, do not accept further payments from families as they will need to resolve issues with GSHCC.
